Setting up a stagnation rule

Stagnation rules define when a matter is considered inactive. Each rule runs independently — a matter can be caught by more than one rule at the same time.

What you'll have at the end

A live stagnation rule applied across the organisation, visible in Team Efficiency > Stagnation. Any matter caught by the rule will also be flagged in the responsible fee earner's My Portfolio for action.

Steps

Navigate to Administration > Company Customisation > Stagnation
Click + New Rule to create a new rule, or click into an existing rule's fields to edit it
A default rule ships with Workzilla. You can edit it directly or leave it and create additional rules alongside it.
Enter a name for the rule
Use a name that reflects the rule's purpose — for example, No timesheet in 7 days or Conveyancing default.
Select the essential actions that should reset the stagnation clock
Available actions: step change, note creation, task completion, status change, and fee creation. Matter opening also counts as an essential action. Any selected action, when performed on a matter, resets the timer.
Select the applicable matter types
Leave this blank to apply the rule to all matter types. Matter types are grouped by billing type and are drawn from your Practice Management Software.
Set the number of days since the last essential action before a matter is flagged as stagnant
Click Save
Navigate to Management > Team Efficiency > Stagnation to review active stagnation flags
The rule is now live. Any matter that has not had a qualifying action within the defined period will appear as stagnant in Team Efficiency, and will be flagged in the responsible fee earner's My Portfolio.
