Fixing report discrepancies by connecting a high-access staff member

If reports in Workzilla are not matching data in your Practice Management Software (PMS), the most common cause is that no high-access staff member has connected their PMS credentials. This guide walks an administrator through inviting that person, and walks the staff member through completing the connection.

Part 1 — Administrator: invite the high-access staff member
Identify the right person
This should be the staff member with the highest level of access in your PMS — typically a firm owner, managing partner, or principal. If that person is already a Workzilla user, skip to Part 2.
Go to Manage Users
Found under the Administration menu.
Invite the staff member
If the staff member's details have been pulled in from your PMS, their record will already exist in Manage Users. Locate them and click Invite.
Part 2 — High-access staff member: connect PMS credentials
Log in to Workzilla
Use the link in the invitation email.
Set a password
Look for the blue Connect button in the top-right corner
This button appears when your account is not yet connected, or when your previous connection has expired.
Click Connect and complete the authentication
You will be taken through a standard login flow for your PMS. Log in with your highest-access credentials and grant Workzilla permission to access your data.
Confirm the connection has worked
Return to the Company Dashboard. Click on a totals card or pie chart to generate a report — you should now see links back to individual records in your PMS. If those links are present, the connection is active.
Done Once connected, Workzilla will begin pulling complete data immediately. It may take a short while for all figures to fully reconcile — if reports still look off after an hour, contact support.
