We have released a couple of changes to how we calculate certain values: 

Total Hours as opposed to “Non-billable time” 

In discussions with various clients, it has become apparent that the term “non-billable” has many different meanings within the industry. As we can only ever accommodate one definition, we have decided to pull back from using the term, and we have shifted how we calculate the statistic.  

Workzilla will now report in either Billable Hours or “Total Hours”. On the performance pages we have used “Remainder” which would be the difference between the total hours logged and the billable hours logged.  

We hope this alleviates misunderstandings relating to our data and can create a good, easy to understand benchmark for everyone to use.  

Changes to Credits 

Previously for our Actionstep clients we were using the credit created timesheet as our stat for “credits”. We have decided this is misleading.  

We have now changed our definition to show only when an invoice is paid using “Credit”. This means that creating the credit note will no longer impact numbers, only when the credit is “applied”. This is a good stat to track as it means work has been completed, and discharged, but no monies have actually changed hands.  

New Target type: Collected (sans credits) 

In line with our new credit definition, we have a new target which allows you to nominate that a person’s target can only be achieved if actual monies are collected. If an invoice is paid via credit that person will not receive any actuals toward their target for that transaction.  

Removed “Fees not invoiced” from Performance screens 

On the collected part of the performance screen, we had a card called “fees not collected”. This was a vestigial design element which we no longer see value in, so we have scrapped it.  

Fixed: Matter Type filter on performance not working 

We noticed that the Matter Type filter on the performance screens wasn’t working well. So we’ve fixed it and it should now work.  

Removed blanks from Unrealised Cashflow page 

If you select someone from the drop down list, and they have no unrealised cashflow they will no longer turn up in the ageing chart. The chart was getting a little out of hand for larger data sets.  

Added “Closed Matters” card on Unrealised Cashflow 

We have a new card on the Unrealised Cashflow page which will alert the user to any monies sitting on a closed file. We understand that most firms will have their system set up so they cannot close a file with outstanding WIP or invoices, however there are still occurrences where someone can accidentally create WIP or an invoice or disbursement on a file that is already closed.  

This will help identify those offenders so you can tidy up your system.  

Combined Fees and Disbursments “not collected” into just Invoices Not Collected on Unrealised Cashflow page 

We now have a much simpler card that will show all invoices outstanding, including GST, regardless of whether the monies owed relate to disbursements or fees. Basically, it is the total of what you sent out to the client, and which they haven’t yet paid.  

Actionstep – Daily Data Extract integration UX upgrade 

The Page now tells you if you have the password already set, and allows you to delete the password (returning to the live API) if you would like to.  

Fixed – Unrealised Cashflow page no longer flashes  

The page was flashing every time it loaded a new bit of data, which meant it was flashing up to 4 times whenever it refreshed. We have fixed this so it should load normally now.
