Onboarding a new employee

Steps to complete in Workzilla when a new employee joins the firm. Complete these before sending the invitation so the employee has the correct access and accurate data from day one.

What you'll have at the end

The new employee has an active Workzilla account with correct permissions. All relevant dashboards accurately reflect them — including targets, salary, and leave where applicable.

Add the employee to your Practice Management Software

Complete this before any Workzilla steps. The employee must exist in your PMS for their data to flow through correctly.

Add the employee to Xero payroll Xero only

Required if the Xero integration is connected. Skip if not applicable.

Add a seat If at seat limit

Go to Subscriptions and add a seat before proceeding. Skip if an available seat already exists.

Configure the employee's permissions

Go to Administration > Manage Users. Set menu access and data visibility to match the employee's role.

Set FT/PT status and working days Optional

Go to Administration > Manage Users. Required for accurate target calculations for part-time staff members.

Set the employee's charge out rate Optional

Go to Administration > Manage Users. Rate history is maintained automatically when updated.

Resync Xero to import salary and leave Xero only

Go to Integrations and resync. This pulls the employee's salary and approved leave into Workzilla.

Set salary manually Non-Xero only

Go to Administration > Manage Users. Only required if the Xero integration is not connected.

Add the employee to a team Optional

Go to Administration > Manage Teams. Staff members can belong to multiple teams.

Create targets for the employee Optional

Go to Administration > Manage Targets. Targets can be configured by metric, calculation method, and frequency.

Invite the employee to Workzilla

Go to Administration > Manage Users and send the invitation. The employee will receive an email to activate their seat.

Ask the employee to connect to your PMS

On first login, the employee selects Connect in the top-right corner to link their account to your PMS. This is required for full feature access.

Done

The new employee is set up in Workzilla. Their data will appear across relevant dashboards once they are active in your PMS and their account is connected.
